Document Retention & Destruction Policy

AILDD retains organizational records to support responsible operations, accountability and applicable legal, tax, financial, contractual and program requirements.

Records covered

Records may include governance documents, financial and tax records, donor and grant records, contracts, employment records, program materials, correspondence and electronic files.

Retention and disposal

Records are retained for the periods in AILDD’s adopted schedule and disposed of securely when they are no longer required. The policy applies to paper, email and other electronic systems.

Legal holds

Records relevant to an audit, investigation, claim, subpoena or reasonably anticipated legal proceeding must not be altered or destroyed while preservation is required.
